The initial assessment establishes what needs attention before you are asked to approve one-time or ongoing work.

Start with an initial assessment

J3 Systems Group reviews the relevant accounts, systems, devices, files, documentation, and operational concerns to identify what needs attention.

Step 2

Meet via Microsoft Teams to review the findings

We meet with you to explain what was found, answer questions, discuss priorities, and identify which issues should be addressed first.

Step 3

Receive recommendations, a written report, and pricing

You receive a written assessment report with prioritized findings and recommendations, defined deliverables, clear inclusions and exclusions, and written pricing for the proposed services.

Step 4

Approve the work you want completed

Choose a fixed-scope, one-time service or approve a contract for ongoing managed services. Paid work begins only after you approve the scope and price.

What happens during the remote assessment?

With written authorization, J3 may use an approved read-only PowerShell or Microsoft Graph process for Microsoft 365, or Google Apps Manager 7 (GAM7) or authorized administrative reporting for Google Workspace. These tools collect available configuration information for manual review. They do not change your environment, replace professional judgment, perform penetration testing, certify compliance, or guarantee that every issue will be found.

How the minimum works: the monthly charge is the greater of the calculated amount and the applicable monthly minimum. The minimum replaces a lower calculation. It is not added to it.

Best fit: stable organizations with limited change volume and a separate process for end-user support.

Everything in Essential plus expanded documentation, quarterly operational reviews and reporting, vendor and subscription coordination, risk and remediation tracking, and annual technology planning.

Best fit: organizations needing structured operations, risk visibility, and regular planning.

Complete

Complete Managed Technology Operations

Everything in Professional plus leadership reporting, strategic roadmaps, lifecycle and budget planning, change coordination, and higher-frequency governance review.

Best fit: leadership teams needing higher-touch technology governance and planning.

Selected-platform rule: the managed package includes one selected Microsoft 365 or Google Workspace platform. The standalone fee is not added for that same platform. If you operate both platforms, the second platform is priced separately using its standalone base-plus-user rate and monthly minimum unless a custom dual-platform price is approved in writing.

Billed in 15-minute minimum increments per distinct work session. Prior written approval is required. Repeated or predictable work is converted to a project, recurring supplement, or package change.

What is not included

Clear exclusions protect both sides from assuming that an unrelated service or outside expense is included.

Services J3 does not provide

  • Routine end-user help desk or routine end-user troubleshooting
  • Staff technology or device setup assistance
  • Onsite services
  • Structured cabling, electrical work, construction, or physical mounting
  • Physical server installation requiring a licensed specialty contractor
  • Unlimited requests, meetings, reporting, or consulting

Services requiring a separate agreement

  • Continuous security monitoring or managed detection and response
  • Penetration testing, incident response, emergency, or after-hours availability
  • Major remediation, tenant-wide changes, migrations, implementations, or extensive cleanup
  • Custom development, training, compliance certification, or guaranteed discovery

Third-party costs are separate unless included in writing

Microsoft and Google licenses, hardware, software subscriptions, client-specific inventory or management tools, migration tools, vendor fees, contractors, specialty contractors, taxes, shipping, travel, and approved external expenses are not included in J3 labor pricing. Client-direct purchasing is preferred. If J3 purchases an approved item, advance funding may be required.

Pricing questions

What clients usually want clarified

What counts as a billable user?

A billable user is a licensed human user account that J3 is responsible for administering. Guests, external contacts, shared mailboxes, resource mailboxes, rooms, equipment accounts, distribution lists, and aliases are not billable users unless your signed service schedule states otherwise.

Does per-user pricing include unlimited work or a bank of hours?

No. Per-user pricing does not provide unlimited requests or a guaranteed number of labor hours. Internal capacity controls are not prepaid hours, service credits, rollover balances, refund rights, or client-owned time.

Can the monthly price change?

Pricing may be reviewed at renewal or when users, tenants, platforms, domains, entities, locations, devices, vendors, applications, workload, meeting frequency, reporting, risk, or operational complexity materially changes. Added users are billed when they are provisioned or placed under J3 responsibility. Verified reductions take effect the next full billing cycle.

Are response times guaranteed?

Authorized requests are normally acknowledged within two business days during business hours unless a signed service schedule states otherwise. Acknowledgment is not resolution, an immediate-response promise, emergency coverage, or a service-level agreement.

When does paid work begin?

Paid work begins only after an authorized client representative approves the written scope and price. Additional work also requires written approval, except for narrowly authorized emergency stabilization in a signed agreement.
