Overview

When OneDrive is paused or signed out, local files can stop reflecting cloud changes. Determine whether synchronization was intentionally paused, authentication expired, or the wrong account is being requested.

Why this happens

OneDrive may pause manually, pause during battery or network conditions, lose authentication after a password change, require MFA again, or sign out because account/device state changed.

Before You Begin

  • Record the OneDrive message.
  • Confirm the intended Microsoft 365 account.
  • Check whether the password recently changed.
  • Do not unlink the account just because sign-in is requested.

Step 1: Review OneDrive status

Action: Select the OneDrive cloud icon and read the current status.

Why this matters: Paused and signed-out conditions require different actions.

What to look for: Look for Sync paused, Sign in, account attention, or connection messages.

Expected result: You should identify whether synchronization is paused or authentication is missing.

Step 2: Resume sync if it was intentionally paused

Action: Select the OneDrive cloud icon > Help & Settings > Resume syncing if that option is shown.

Why this matters: A manual pause can stop changes even though the account and files are otherwise healthy.

What to look for: Confirm the paused message disappears and sync activity begins.

Expected result: OneDrive should resume processing pending changes.

Step 3: Verify the work account before signing in

Action: Open a private browser window and sign in to Microsoft 365 with the intended work account.

Why this matters: This confirms the credentials and MFA independently of the OneDrive client.

What to look for: Look for password, MFA, conditional-access, or account-lockout errors.

Expected result: The work account should authenticate successfully before OneDrive reuses it.

Step 4: Sign in to OneDrive with the confirmed account

Action: Return to the OneDrive prompt, select Sign in, and use the same verified work account.

Why this matters: OneDrive may be waiting only for a refreshed authentication token.

What to look for: Confirm the correct organization and account are displayed.

Expected result: OneDrive should reconnect without creating an unexpected second sync location.

Step 5: Check the Account tab after sign-in

Action: Select the OneDrive cloud icon > Help & Settings > Settings > Account.

Why this matters: This confirms the client reconnected to the intended tenant and folder.

What to look for: Look for the correct work email and organization name.

Expected result: The intended organizational account should be listed as connected.

Step 6: Verify pending changes complete

Action: Monitor the OneDrive cloud icon and compare one recent file with OneDrive on the web.

Why this matters: Successful sign-in is not complete until pending content synchronizes.

What to look for: Look for Up to date and matching file modification times.

Expected result: OneDrive should return to normal synchronization with the correct cloud content.
