Overview

A printer can appear offline because of power, paper, queue, connection, driver, network, spooler, or printer-side errors. Start with the printer and queue status before reinstalling anything.

Do not repeatedly resend the same jobRepeated submissions can create duplicate print jobs once the printer recovers.

Why this happens

Printing requires the application, Windows print queue, printer driver, network or USB connection, and printer hardware to all function correctly.

Before you begin

  • Confirm the correct printer name.
  • Record printer display errors.
  • Check whether other users can print.
  • Do not factory-reset a network printer.

Click-by-click troubleshooting

Step 1: Check the printer itself

Action: Verify power, paper, toner or ink, covers, trays, and any printer display message.

Why this matters: Windows cannot fix a hardware-side paper, cover, consumable, or power error.

What to look for: Look for Offline, Paper jam, Load paper, Replace toner, Cover open, or network error.

Expected result: The printer should show a normal Ready state.

Step 2: Check Windows printer status

Action: Open Settings > Bluetooth & devices > Printers & scanners. Select the printer and open the print queue.

Why this matters: The queue shows whether Windows is sending jobs, pausing them, or holding an error.

What to look for: Look for Offline, Paused, Error, or multiple stuck jobs.

Expected result: The queue should show the printer available and jobs progressing normally.

Step 3: Remove only clearly stuck duplicate jobs

Action: In the print queue, cancel only duplicate or failed jobs that are safe to discard.

Why this matters: One corrupted job can block later jobs.

What to look for: Look for the same job repeated many times or a job that never progresses.

Expected result: The queue should clear enough to test one fresh print job.

Step 4: Print a Windows test page if available

Action: In Settings > Bluetooth & devices > Printers & scanners, select the printer, open Printer properties if available, and choose Print Test Page.

Why this matters: A test page separates Windows printing from the original application.

What to look for: If the test page prints, the original application or document may be the problem.

Expected result: The printer should produce a Windows test page when the Windows print path is healthy.

Step 5: Check the connection path

Action: For USB printers, reseat the USB cable. For network printers, confirm the computer is on the expected office network and compare whether another user can print.

Why this matters: A connection failure can make an otherwise healthy printer appear offline.

What to look for: Look for USB disconnects, Wi-Fi changes, network outage, or whether the problem affects one user or everyone.

Expected result: The printer should have a working physical or network path to the computer.

Step 6: Restart only the printer and affected computer if appropriate

Action: If no active jobs are processing, power-cycle the printer using its normal power control. Restart the affected Windows computer once.

Why this matters: This clears temporary printer and local spooler conditions without changing drivers or network settings.

What to look for: Check whether the printer returns to Ready and the queue reconnects.

Expected result: A temporary communication error may clear after a controlled restart.
